Event Planner (Independent Contractor)

Phison is seeking an experienced, independent Event Planning professional to provide contract event-planning services to the U.S. Marketing team on a project basis, with the engagement anticipated to run through June 2027. The contractor will take ownership of assigned events across Phison’s U.S. trade shows, industry events, partner programs, and related marketing activities, determining their own methods and schedule for completing each engagement’s deliverables.

The ideal contractor can step into an active event calendar with minimal ramp-up, independently manage multiple events and vendors, and work effectively across Product Marketing, PR, Business Development, creative, and external partners. Experience supporting technology or B2B events is strongly preferred. This engagement is open to individual contractors as well as established event-planning businesses.

This is an independent contractor engagement, not an employee position. It does not create an employer-employee relationship and is not eligible for Phison’s employee benefits programs.

 

Scope of Services

  • Own and execute assigned events from planning through onsite execution and post-event closeout, aligned to Phison’s brand standards and marketing goals.
  • Coordinate cross-functionally with Product Marketing, PR, Business Development, creative, and other stakeholders to align event content, messaging, product priorities, partner participation, and deadlines.
  • Manage external vendors and agencies, including booth design and production, graphics, venues, catering, audiovisual needs, rentals, and other event services.
  • Maintain event timelines, workback schedules, action items, approvals, and deliverables across multiple concurrent events.
  • Oversee end-to-end event logistics, including registrations, booth setup and dismantle, shipping and freight coordination, travel-related planning, catering, meeting space, and onsite requirements.
  • Manage vendor and inventory tracking, including approved suppliers, contracts, booth properties, giveaways, swag, collateral, and replenishment needs.
  • Support event budgets by obtaining quotes, coordinating purchase requests and POs, tracking expenses, and supporting timely reconciliation.
  • Coordinate customer meetings, partner dinners, product showcases, giveaways, media activities, executive participation, and other event-related programs as needed.
  • Oversee lead capture and badge scanning processes, and coordinate with Business Development and Marketing on lead handoff, CRM tracking, KPI reporting, and event ROI measurement.
  • Serve as a primary onsite point of contact for Phison teams, partners, vendors, venues, and event organizers for assigned events.
  • Maintain clear event documentation, templates, schedules, and vendor records as agreed deliverables under each engagement.

 

Contractor Qualifications

  • 4+ years of hands-on event planning or event-marketing experience, with demonstrated ownership of trade shows, conferences, corporate events, or partner programs.
  • Bachelor’s degree in Marketing, Communications, Business, Event Management, or a related field, or equivalent professional experience.
  • Experience in technology, high-tech, B2B, or a similarly fast-paced industry strongly preferred.
  • Able to be engaged as an independent contractor: eligible to invoice for services and complete required tax documentation (e.g., Form W-9). Open to individuals (sole proprietors) as well as registered businesses — no business entity or license is required.
  • Provides own equipment and tools, and determines own methods and work schedule for completing agreed deliverables.
  • Ability to step into an active event calendar, quickly assess priorities, and deliver independently with limited ramp-up time.
  • Strong project-management skills, with the ability to manage multiple events, deadlines, vendors, budgets, and stakeholders simultaneously.
  • Excellent written and verbal communication skills, with confidence working with internal teams, executives, partners, agencies, and vendors.
  • Proficiency with Microsoft Office and project-management/collaboration tools such as ClickUp, SharePoint, or similar platforms.
  • Ability to travel domestically as needed to support event execution; travel frequency may vary based on the event calendar.

 

Engagement Structure

  • Independent contractor engagement governed by a Statement of Work (SOW), with scope and term anticipated through approximately June 2027.
  • Contractor determines the methods and schedule used to complete deliverables and is free to take on other clients or engagements during the engagement period.
  • Contractor invoices Phison per agreed terms; Phison does not withhold taxes, and the contractor is responsible for their own taxes, insurance, and business licensing.
  • This engagement does not create an employer-employee relationship and does not include eligibility for employee benefits.
  • Contract rate and terms are set out in the SOW, based on scope, experience, and deliverables.
